o   Approval of March minutes:

§  Motion made by Mike Barrows.  Seconded by Bob DuCharme.   All voted in favor.

o   Helen will be attending all the masses in June asking for volunteers to participate at the masses as Eucharistic Ministers, Ushers and Readers.

o   Homeless Shelter

§  Homeless Shelter list has been updated.

·        June 4, 2017 – Parish Council – council members are urged to sign up and participate.  Meet at Parish Center at 3 to begin preparation, dinner at 6 pm. Plan for approximately 90 people.

·        July 2017 – Knights of Columbus

·        August 2017 – Hispanic Community

·        September 2017 – At Large Volunteers

·        October 2017 – Our Lady’s Guild

·        November 2017 – Parish Council

·        December 2017 – Confirmation Class

o   Sunday Lunches for feeding the homeless (Frank noted that the following items are not to be served: pizza, barbecue or spaghetti):

§  Location: Grace Episcopal Church 419 S. Main Street Lexington

§  OLR will assist during the months of May and September

o   Meals on Wheels

§  We currently have 18 people on our route.
 

·        Hispanic Community Maria Segura

·        Food Sale will be held on June 4 after the 10:00 and 11:30 masses

·        September 17 – Hispanic Festival

·        Our Lady’s Guild – Pat Sniffin

§  June 7 – last event of 2017/18.  Will start again in September with a new slate of officers.  Meets first Wednesday of the month

§  June meeting  will be held at Christo’s for a dinner

·        Knights of Columbus – Frank Greco

o   Breakfast will be held on May 20. Good Attendance.

o   4 breakfast events are held each year.

o   Yard sale – June 23 and 24. Donations are now being accepted. Call Grover.  His phone number will be in the bulletin.

o   100 Club will start in July and run through June 2018.

§  Tickets are $25 each

§  Every month, 2 names will be drawn.  Winning amts are: $75 & $25.

§  Tickets will then go back into the next drawing

§  Donations to : LAMB (Least of my Brethren)

·        Building and Facilities John Bloxsom

o   Handouts were provided to the Council to review Phases I and II of the beautiful project. Phase I will begin after the yard sale in June.

o   Samples of renovation materials were on display for Council Members to view, discuss & decide on colors.

o   Motion was made by Teresita Wright to approve the materials and colors as follows:  Trim – Killian Beige; Ceiling – Honey Minwax Stain; Beams – Turkish Coffee.  Seconded by Lisa Grondy.  All approved.

o   John presented an estimated cost of $1,500/year maintenance fee to have all of the HVAC units serviced twice a year.  A discussion followed on the age and conditions of all units.

·        Finance – Larry Kunar

o   A discussion was led by Larry concerning the 2017/18 preliminary budget.

§  Budget assumptions were developed by the Finance Council and presented to the Council Members

·        Parish Demographic assumptions

·        Employment/employee assumptions

·        Financial assumptions

§  A budget worksheet was also presented to the Council Members

§  It was noted, by Mike Barrows, that there are 466 registered families in the Church

§  The charge to the Council is to provide any recommendations to the Finance Council on the proposed budget by Friday, June 16th

§  A discussion was held on the use of the 2nd collection money.  It was noted the parishioners need to know the purpose of the 2nd collection is to:

·        Fund the Diocese Custodial Collections, and

·        Support the parish IF (Improvement Fund) Account for projects like the needed replacement of two HVAC units.

§  The Final Budget will be presented to Fr. Ambrose and the Parish Council for final approval at the June 28, 2017 meeting.

·        New Business

Next Meeting:  Wednesday, June 28, 2017 at 7:00 pm in Parish Center.  It was noted that this is the last meeting for the 2016/17 year. We will resume in September, 2017.

Old Business:

Approval of March minutes:

Motion made by Mike Barrows.  Seconded by Grover Roland.   All voted in favor.

Teresita Wright led the discussion concerning the Diocesan Stewardship Conference she & others attended.

A lot of information was shared.

We need to pull together a committee of 10-12 people to form a stewardship committee.

Time/Talent/Treasure- we are asking parishioners to help in one or more of these 3 areas by becoming part of one of the stewardship committees.

Once we have the committees formed, we will then be able to call in a consultant from the Diocese to advise us on how to proceed.

Our pastor must be on board as well – to guide the committees’ spiritually.

 

Commission Reports:

Education/Faith Formation – Sister Kathy

Sister Kathy informed the Council that the Jr. High classes are working on different life skills, as part of their training:

6th grade – 45 minutes traditional lessons; 45 minutes - communication

7th grade – 45 minutes traditional lessons; 45 minutes – decision making

8th grade – 45 minutes traditional lessons; 45 minutes – morale issues

May 7 – Retreat for Confirmation Students

May 13 – First Communion for older students

May 14 – First Holy Communion for younger children, and the Hispanic Children

May 14 – last day of Faith Formation Classes

May 31 – Confirmation

Discussed registration for fall Faith Formation Classes.  Father recommended holding the process until we have a procedure for church registration of parishioners.  Parents need to register as a church member before registering their students for Faith Formation Classes.

Current number of families registered:  204 Angelo families; 222 Hispanic Families

The current registration form will be revised to make it more user-friendly. A group will work on simplifying the form this week.

Liturgy and Worship – Helen Greco

Easter events will be reviewed this Monday, May 1

May – will celebrate Mother’s Day and Memorial Day

Helen will be attending all the masses in June asking for volunteers to participate at the masses as Eucharistic Ministers, Ushers and Readers.

Hispanic Community Maria Segura

Food Sale was held on Sunday, 3/19/17.  Net proceeds were $525. Will continue to hold food sales once a month (No food drive held in April due to Yard Sale; May is tentative).

Hispanic Community held a Yard Sale on 4/22/17.  Collected $2,000.31.

All proceeds from these events and others will go into a savings account in order to have funds for the upcoming Festival.

The Hispanic Community Leaders are meeting w/law enforcement to discuss current issues, and the level of fear in the community.  Kids are not going to school, shopping or even to church.  Currently, there are no local issues.

During Faith Formation classes on Sunday mornings, Veronica Contreras was teaching the Hispanic Adults.  Their last day of classes was March 26.

Our Lady’s Guild – Pat Sniffin

May 3rd – game night

Need to elect new officers

Friday, some members will be participating at the Special Olympics at Ledford School.

Knights of Columbus – Grover Roland

Breakfast will be held on May 20. Proceeds will go to: Meals on Wheels.

4 breakfast events are held each year.

Building and Facilities – John Bloxsom

Proceed immediately to replace 2 defective HVAC units and complete payment by June 31, 2017. Advise Finance committee what the annual cost of maintenance contract for HVAC units. Also, investigate possibility and annual cost of purchasing "insurance" policy for all HVAC units

A meeting is scheduled to begin the discussion of the timeline for the renovations.

Discussed the amt of the renovations and keeping the amount under $50,000.

Finance – Robert DuCharme

A summary was presented by Robert for YTD March 2017.

YTD deficit is $45,782.

Discussed registered families and the need to simplify the form

Discussed a Stewardship Campaign

FHL Campaign end December 2018.  55% paid through December 2016. 

No other capital campaigns allowed until fall of 2018.

Budget planning for FY 2018 has started.  Proposal will be presented at the May 24 Council Meeting

New Business

Sunday, May 21 – Church will hold a covered dish luncheon in the Parish Center. Time will be 3 pm.  Everyone is invited.

75th Anniversary Golf Tournament:

Teresita mentioned that she is working on holding a fashion show during some of the down time during the tournament.  More information to follow.

Approximately 150 people attended.

Noted that it was a great evening for all.

Discussed the 2016-17 Faith Formation Program Report that was given to all council members at the February Meeting.

Sister Kathy was commended on her work with the Faith Formation Program.

Hispanic Community Maria Segura

On 3/18/17, a retreat was held for married couples in Spanish.

Lent

Beginning March 8 and until April 12, 2017 (every Wednesday) the Hispanic Community will hold Stations of the Cross at 6:30,
Mass at
 7:00 p.m. followed by talks in preparation for the Lenten season. Attendance has been between 20 & 30 people.

Training for the Live Stations of the Cross is on-going. To be held on Good Friday at 7:00 pm.

Food Sale was held on Sunday, 3/19/17.  Will continue to hold food sales once a month until the Festival.

Hispanic Community is preparing for a Yard Sale on 4/22/17 at 7:00 am until sold out.  Donations are being requested. 
Booth Rentals are $35.00 each.  So far, one booth has been rented.

Our Lady’s Guild – Pat Sniffin

Next meeting: April 5. 

Pizza will be served.  Bingo will be played.

Approximately 50 cookbooks left for sale.

Building and Facilities John Bloxsom

HVAC units have been assessed.

The Church Campus has 8 units.

Folders have been created for each unit and are located in the church office.

All units are now identified and numbered

2 units have been shut down for heating purposes, but the air conditioning works.

Unit 3 is located outside of the Church – O’Reilly side of the building

Unit is approximately 17 years old

$1800 to repair

$5900 to replace (will be both heat/air replacement)

Recommendation is to replace

Unit 2 is located behind the Parish Center

Estimated to be between 12-15 years old

$1900 to repair

$6900 to replace

Recommendation is to replace

It was noted that all HVAC units need to be cleaned and serviced.

The unit beside the Parish Center also needs some minor repairs.

The Council discussed remodeling the Sanctuary for the 75th anniversary of the church.  It was noted that the proceeds from the golf tournaments are to be used for beautification (modernization) of the church.

It was noted that the Diocese must be involved with any remodeling. 

It was noted that the Church still has an obligation w/the last Diocesan Campaign (Faith, Hope and Love). No campaigns can begin until this is completed in 2019.

Need to keep the project under $50,000.

No firm dates were decided.

Cabinets in the Parish Center Kitchen were discussed as they are in disrepair and falling off the wall.

FHL Campaign end December 2018.  48% paid through December 2016.  105 families pledged.

New Business

Mike presented the members with a copy of the Parish Capital Campaign guidelines.

Guidelines state that the Church can begin a capital campaign in Spring 2019.

There is a 16 step process that we have to complete

Process can take 6-12 months to complete

Must be approved before we can meet with the Diocesan Building Committee.

Motion was made by Karen Bloxsom to proceed with the Beautification of the Church.  Second was made by Grover Roland.  All voted in favor of the motion.

Email John Bloxsom with ideas suggestions on the renovations.

Father will confirm that we are to stay below the $50,000 threshold.

Beautification is to begin immediately following the Knights yard sale (mid-June since the parish hall will be needed for mass). 

75th Anniversary Golf Tournament:

It was noted that the Golf Ball drop price would drop to $10 or 3/$25.

Gail Capone (pharmacist w/Wal-Mart) has volunteered to host a Flue Clinic this fall.

§  All Council Members were given a copy of the 2016-17 Faith Formation Program Report to review.

§  Feedback on the document will be discussed at the March Meeting.

§  Mike Barrows mentioned that the FF Program is out of space for classes.

§  Sister Kathy responded to the concern about FF space via an email:

·        We are using all 9 classrooms & the kitchen (Prayer Ministry).

·        As the program has grown, the number of children in each classroom has increased.

·        The largest number of children comfortably seated in a classroom should be 17. Some of the classrooms have 19 – 22 students.

o   A makeup training session will be held this Sunday, 2/26, for those who missed the scheduled training sessions.

§  The Council discussed remodeling the Sanctuary for the 75th anniversary of the church

·        Goal is to have the project completed by 2019.

·        A  Design Group was identified.   The Decorator’s Edge of Thomasville, NC.  Cost would be $500.  Will provide 2 drawings.

·        It was noted that the Diocese has to be involved with any remodeling.  Father Ambrose will call the Diocese to set up a meeting to discuss.

·        It was noted that the Church still has an obligation w/the last Diocesan Campaign.

·        The proceeds of the Golf Tournaments are to be used for the remodeling of the church..

·        No firm dates were decided on for the project to be started or completed.

·        It was recommended to  do an overall assessment of the church facilities: HVAC, Plumbing, Electrical, Roof, windows, music equipment, sound system, safety concerns, etc, before we move any further.

·        Finance – Larry Kunar

o   Larry informed the Council on information he received at a Finance Workshop that he and Father attended earlier this month.  There are many guidelines for outside use of our facilities, including the issue of liability insurance.  The Council was encouraged not to invite outside groups to use our facilities.

·        New Business

o   Teresita Wright noted that the new Church Bulletin will be available soon.

o   Fund Raising – Mike Barrows

§  Mike led the discussion concerning the number of fund raisers the Church hosts during the year.

§  The fundraising committee needs to collect information on these events/costs/proceeds.

o   There will be a Saint Patrick’s Day Dinner on March 18.

§  There is a signup sheet for the St Patrick's day dinner in the foyer of the Church..

§  Cost is $10 for adults and $5 for children.

o   Need for Parish Directory – We need an accurate count of the number of families in our Parish.

o   There are 2 upcoming Conferences that members can attend:

§  Diocesan Stewardship Conference, Hickory, NC

·        March 25 from 9:30 – 3:30 pm

§  Diocesan Catechetical Conference, Greensboro NC

·        March 25 from 8:00 – 4:00 pm

·

We currently have 15 people on our route.

Hispanic Community Maria Sergura

Novenas for Our Lady of Guadalupe went well.

February, the Hispanic Community will serve the homeless shelter.

Lent

Beginning March 8 and until April 12, 2017 (every Wednesday) the Hispanic Community will hold Stations of the Cross at 6:30, Mass at 7:00 p.m. followed by talks in preparation for the Lenten season.

Our Lady’s Guild – Pat Sniffin

Cookbook Fund Raiser: Cookbooks are still available.

Baby Bottle Campaign:  all bottles have been taken.  Due back on Sunday, January 29.

Next meeting: February 1.  Agenda is making chocolate to be sold on 2/4 for Valentine’s Day.

Knights of Columbus – Grover Roland

First breakfast of 2017 will be held on February 18th.

Time:  6:30 – 10:30 am

Donation of $5/person

Donations will go to the Davidson Cancer Services

Meal will consist of eggs, bacon, sausage, and all the trimmings.

Building and Facilities John Bloxsom

The lights in the sanctuary have been replaced with much brighter lights.

Cost was approximately $900.

An Anonymous Donation covered this expense.

The Council discussed remodeling the Sanctuary for the 75th anniversary of the church

Goal is to have the projected by 2019

A visual picture was passed around for everyone to see

It was determined that we need Design Committee to research and come up with some plans (for example, 3) for the Parish Members to see and vote on.

It was noted that the Diocese has to be involved with any remodeling.

The proceeds from the Golf Tournaments can be used for this project.

No firm dates were decided on for the project to be started or completed.

It was noted that it could take between 1 and 2 months to complete the project. There is the potential that the masses would have to be held in the Parish Center during the renovations.

Finance – Robert DuCharme

It was noted that expenses are down slightly versus budget

Income is $35,427 less than expenses for the first 6 months of the fiscal year.

Goal is to increase revenue.

New Business

Teresita Wright led a discussion for outsourcing the Church Bulletin.

The Council was presented samples as a visual

No cost to the Parish

Ads would be sold to local Business Agencies, including Church members

4 pages, with back page for advertising

The company would need to raise between $7,000-$9,000/year in advertising fees for the contract to continue.  There is a time limit of 2 years to make the project successful.

Ads would begin at $300.

No ads required for the first month.

Church information submitted by Tuesday, and the completed bulletin returned by Thursday

Church Business Office computer would need to have MS Publisher for the staff to use to complete the bulletin.

Volunteers are need to research what needs to be in the bulletin.

Teresita Wright let a discussion for creating a pictorial Parish Directory.

Would require some help from members to pull together the project

Appointments would be made using 2 week nights, and one weekend.

Parishioners are not required to purchase any pictures, but will have the opportunity to do so, if they wish.

Pictures are not necessary to be in the directory.  Every family on record will be included.

Copies will be available online as well for 3 years.

Hard copies will be available.

Fund Raising Committee – Mike Barrows

Council discussed creating a fund raising committee

Goal is to look at the past 3 years and find where our holes are.

Members will be:  Mike Barrows, Gonzalo Agudelo and Orla Kelly-Rajan.

Father Ambrose:

Discussed Mass Schedule Changes

Proposed mass times:

Saturday – 5:00 pm

Sunday – 8:30 am, 10:00 am, 11:30 (Hispanic Mass)

New Mass times were discussed at the meeting 1/25/2017, and the Hispanic Community is very much in favor of these new times.  The changes will allow more family time on Sundays.  Many in the community teach faith formation and are in church from 9:00 a.m. to 3:00p.m.

We will try this and later assess
