·        Meeting was opened with a prayer.

·        Welcome:  Mike welcomed the Council

·        Old Business:

o   Approval of September minutes:

§  Motion made by Mike Barrows.  Seconded by Pat Williams.  All voted in favor.

o   Commission Reports – commission reports are located at the bottom of this document. 

·        New Business:

o   Finance Committee : It was announced that Chris Joss is chairperson.  Committee Members have been picked.  Discussed a positive net income of $37,000.  Discussed open communication between Finance committee and Parish Council.  For the 2018/19 budget year, Chris is asking for all committees/commissions to email Council secretary to compile the information.  The requests will be discussed at the March Meeting.

o   The Diocese representative has suggested that the Council forms 3 new committees:

§  Stewardship

§  Parish Life

§  Youth Program

·        Discussed that the Church needs to be doing more to bring young people to the church. Discussed ideas on how to let the young people use their talents at masses.  The goal is to bring these young people back.

o   Julia Michaels has been asked to pull together some people to brain storm ideas.

·        Discussed the second collection:  parishioners need to know what the collection is going towards. Discussed reducing the number of second collections.

·        REMINDER:  Committee chairs are reminded to send their reports to Teresa Kines. 

·        Meeting was closed with a prayer.

Parish Commission Reports: February 2018

 

Education/Faith Formation: 

 - We are more than halfway through with Faith Formation classes. 

 - We will be handing out "Past Due" notices to all those who have not finished paying their Faith Formation Dues on Sunday February 25th and on Wednesday February 28th. 

 - We will be asking for donations of candy to have an Easter Egg Hunt during regular Faith Formation classes on March 18th
 

Liturgy and Worship:

 - A Penance Service is scheduled for Monday March 5th at 7:00 PM.  Priests will be available to hear confession in both English and Spanish.

 - A Healing Mass is scheduled for March 21st at 12:15 pm, followed by lunch. 

Community Outreach:

Homeless Shelter Responsible Groups: 
        April – “At-Large” Group (Confirmation Class)

 

Community Life:

 - Discussed beginning a Parish Life Commission

 - Main responsibilities will center around social events

 - Will be part of the Parish Commission’s monthly reports

 - Asking for volunteer(s) from the Parish to serve on this commission

 

Hispanic Community:

 - Stations of the Cross in Spanish (Via Crucis) will be every Wednesday at 6:30 p.m.

 - Meeting of the Spanish Speaking Community will take place the first Wednesday of every month in the Rosary Hall.

 - There was a food sale 2/25/2018 - Do not have profit numbers yet.  Should be $300.00 + or -.  Will need to figure in all the expenses.

 - After the Spanish Mass we will be selling candy/chips as a fund raiser

 

 - We are beginning to collect donations for the yard sale on April 20 & 21.  Will be renting tables for $35.00 to those who would like to sell for their profit. WE WILL NOT be accepting clothing this time.  It Is very time consuming and the profits from the sale of clothing does not warrant the amount of work. 

 

Our Lady’s Guild:

 - The Baby Bottle Campaign was a huge success - we collected $2,625.00 for the Alpha Pregnancy Center. 

 - Our "Chocolate Sunday" was also a success - we made $365.00 which goes towards a gift for our church. 

 - Our March 7th meeting will have a Master Gardener presenter.

 

Knights of Columbus:
 - The last breakfast was a success.  Netted $750.00

 

Building and Facilities:

1) New HVAC Units

    Currently soliciting Three bids for Two 5 ton Units for the church bldg. And one 3-1/2 ton unit for Parrish Life Center.  All contractors are American Standard dealers as we want to be manufacturer consistent. Units to be installed in March.  Bids came in around $23, 200.

 

2) Rail at Organ and choir platform to be installed week of March 5th. Rising Jesus to be installed same week.

 

3) Met with City to discuss fencing code requirements. We can install chain link at non frontage lines, but must install some type of decorative fencing along Salisbury St.  Got a budget number from one local contractor of $8500.

 

4) Met with Anthony Morlando (Dioceses Architect) to discuss church security. Specifically doors. And current restroom layout.  Met with Local door company and awaiting budget pricing on updating entry / exit systems and replacing exterior glass doors.

 

5) Met with Flooring contractor to get budget pricing for Narthex / Restrooms / Rosary Hall

    Pricing Commercial vinyl throughout and Ceramic tile in Narthex / restroom option.

Evangelical:

 - The free resource this month from Dynamic Catholic was the book Beautiful Hope which was very well received.

 - The Lenten discussion groups using Dynamic Catholic's Best Lent Ever program and the book Perfectly Yourself began last week. We have two sessions in English and one in Spanish, thanks to Consuelo Catalan. 

 - Member Jim Day resigned due to other commitments. 

 - Mext meeting is scheduled for March 12 at 6 PM.

 

 

 

Fall 2018 OLR Golf Tournament:

  - Date has been set:  Saturday, September 29, 2018

  - Location same as last year:  Asheboro Country Club

  - Proceeds to help fund the 75th Anniversary Celebration

  - First meeting was held February 3, 2018:

        Reservation deposit has been made.  No silent auction as part of this tournament.

        Core Committee is:  Bob DuCharme, Greg O’Brien, Grover Roland, Jim Day.

        Initial meeting was held with core committee and Ken and Gail Capone to "download information and background" from previous outings. More information will follow. Please contact any member of the core committee to volunteer to support this activity.

75th Anniversary Committee:

Members are: Teresa Kines, Teresita Wright, Orla Kelly -Rajan,  Karen Bloxsom, Maria Segura, Erin Brown, Barbara Seuberling, Chris Joss

·        Meeting was opened with the “Hail Mary”.

·        Welcome:  Mike welcomed the Council

·        Old Business:

o   Approval of September minutes:

§  Motion made by Mike Barrows.  Seconded by Karen Bloxsom.  Corrections were made to the minutes.  All voted in favor.

o   Commission Reports – commission reports are located at the bottom of this document.  Parish Life Commission has been added to the report for future information.

·        New Business:

o   75th Anniversary Celebration update:     

·        Chairs:  Teresa Kines, head chair; Orla Kelly-Rajan and Teresita Wright are also chairs.

·        Committee members are currently being discussed.   The Anglo’s and the Hispanics will be represented on the committee.  More information to follow.

o   2018 Golf Tournament – Robert DuCharme is leading this upcoming event.  First meeting is scheduled for February 3rd. Tournament will be this fall.  It will be a little more low-key then the past events. More information to follow.

o   Finance Committee is being re-organized.  New Members will be added. More information to follow.

o   Parish Council Formation/By-Laws:  copies of the by-laws were distributed to members who did not have a copy.  Discussed the membership and the rotation off of members.  Members were asked to read the by-laws for discussion at the next meeting.  We were also advised that we could pull down the by-laws from the Diocese website for further information.

o   Evangelization Workshop – was a success.  A quick update was given.

o   Discussed Security of the Church and the parishioners/visitors during church services.

§  Workshops are provided by the Davidson County Sheriff’s Office. Father Ambrose and other church members attended.  Father Ambrose noted that a member of the Sheriff’s department will come to the church and help us do an assessment of our facilities. Doors and locks are being studied for replacement where they can be locked from the outside, but people that are inside can still get out.  More to follow.

Parish Commission Reports

Education/Faith Formation: 
 
-
We have been having a good turnout at both the Sunday and Wednesday classes.  Payments are still coming in.  We put the deadline for all payments due by January 31st but we will not have all payments by then.  We will be sending out a notice of payment due some time in February.  All Faith Formation classes will be participating in the RICE Bowl beginning on Ash Wednesday.  There is a need for a Youth Leader by the Parish Council.

 

Liturgy and Worship:

 - No Meeting held in January
 - Presented a one page essay on Saint Elizabeth Ann Seaton to English speaking masses. Presented one page essay on Right to Life in both English and Spanish to Parish.

Tuesday, 2/13– Shrove Tuesday
Wednesday, 2/14 – Ash Wednesday.  Masses are scheduled for: 12:15 pm; 6:00 pm (English); 7:00 pm (Spanish)

Weekday Masses:

 - Monday, Thursday, Friday – 9:00 am

 - Wednesday – 12:15 pm

Holy Days on Weekdays:

 - 12:15 pm (English) and 7:00 pm (Bilingual)

 

Community Outreach:

Homeless Shelter Responsible Groups: 
        February -  Hispanic  Community
        March – “At-Large” Group (Confirmation Class)

- Food and condiments for the Crisis Ministry:   Requesting that donations be in smaller packages for ease of distribution. 

 - Providing Service Hour opportunities to confirmation students.  All class members are to participate at least once before being Confirmed.  Delivered four loads of foodstuffs and items to the Crisis Ministry contributed by Parish members.

 - Supporting Religious Education Confirmation Class with service hours. Each student will read one reading for service credit at Mass.  15 of 31  were completed Jan 21.  Also providing student labor in support of K of C Breakfast, Spaghetti Dinner, other Parish events to come.

 

Community Life:

Hispanic Community:

 - We participated as a church in the Lexington City Christmas Parade.  Thanks to those who donated candy.  Lots of fun was had by all the participants.  We hope to have more "Church wide" participation next year. Father Ambrose walked with us and Our Lady of the Rosary was well represented. 

 - Preparations are under way to serve the homeless on 2/4/18.

 - We are beginning to collect donations for the yard sale on April 26th.  Will be renting tables for $35.00 to those who would like to sell for their profit. WE WILL NOT be accepting clothing this time.  It Is very time consuming and the profits from the sale of clothing does not warrant the amount of work. 

 

 - Tickets for the Festival have been ordered.  They will be distributed to the Faith Formation families.  We expect each family to purchase four tickets. Sale of tickets to parishioners in general will begin within the next three weeks.  Raffle will include a 55" T.V., I-Pad and a BBQ Grill

 

Our Lady’s Guild:

 -  Baby Bottle Campaign wrapping up the end of January. 

 -  The February meeting is Wednesday, Feb. 7th

 -  The "Chocolate Sunday" will be held the weekend of Feb. 10/11 after the Masses.

 

Knights of Columbus:

 - Next Community Breakfast is February 17, 2018

 - $300 was donated to the Alpha Pregnancy Program

 

Building and Facilities:

 - Building & Facilities Commission met Saturday Jan. 13th to discuss and prioritize an “Action Plan” for 2018.

 - Currently:  1) Railing to be installed at Organ and end of Choir Platform.  2) New blind to be installed on rear window of Nave.  3) Access Doors (arrived finally) to be installed at electrical panel.  4) Emergency exit signs to be installed.

 

Finance: 
 -
Awaiting Father Ambrose’s decision on how the Finance Council will proceed in the future. No data available to report at this time. The November "Report to the Parishioners" is available at church.

 

Evangelical:

1.  Welcome packet for New parishioners continues. 

2.  Parish Champion free resources are being very well received.

3.  Surveys for Discussion Groups have been tallied and two separate sessions have been determined and will begin the week after Ash Wednesday.

4.  Bible Study with Father is ongoing and well attended.  

5.  Evangelization Workshop will be held Saturday the 20th and at least 15 participants are expected.  A report will be given at the meeting if so desired.

o   Discussed the fact that we do not have a cry room anymore due to the Beautification of the church.

§  Discussed the cost to add a Closed Circuit TV in Rosary Hall – approximately $7,000

§  It was mentioned that we do have working speakers in Rosary Hall, and anyone who needs to use that space will be able to hear the service

o   Discussed Security of the Church and the parishioners/visitors during church services.

Requesting that donations be in smaller packages for ease of distribution.  Example:  4 lb. bag of sugar versus a 5 lb. bag of sugar

Hispanic Community:

 - Will have a float in the Lexington Christmas Parade on 12/4/2017

All are invited to walk beside the float. Candy Donations are requested.  People walking will throw out candy.  Donations can be left at the church office.

Small zip lock bags will also be distributed containing a prayer card and a card with mass times.

If you plan to participate, please meet at Lexington High School between 3:30 and 5:30.

 - December 3 – Our Lady of Guadalupe Celebration.  The Novena in honor of Our Lady of Guadalupe begins Sunday, December 3 @ 7:00 p.m. Times will vary depending upon the Church activities.  Times will be announced on a daily basis. 

 - December 11 – Celebration of the Hispanic apparitions to the Virgin Mary – 9:00 p.m. until Midnight.  Will present the Apparitions of Our Lady of Guadalupe and will sing the Mañanitas to The Virgin. This will take place at The Parish Center. 

 

Our Lady’s Guild:

 - Our Lady’s Guild supplied the cakes for the spaghetti dinner.

 - Diane Hughes helped the Guild to get names of the children for the Angel Tree this year. The tree was put up and as of now all the Angels have been taken.  Gifts are to be returned by Dec 10th.

 

Knights of Columbus:

 - Next Community Breakfast is February 17, 2018

 

Building and Facilities:

For Budget Planning Purposes, quotes were received for the following (current 2 units are 15+ years old):

 - Estimate to Replace 2 HVAC units (Church and Rosary Hall)

 - Total cost to replace both existing units:  $17,450.44 (includes use of a crane).

 - Breakdown:  $7925.22 for each unit.  $750/unit additional cost, if crane is needed.

 

Finance:

Awaiting Father Ambrose’s decision on how the Finance Council will proceed in the future. No data available to report at this time.

 

 

Evangelical:

1.  Need to know who will be attending the Evangelization workshop on January 20, 2018. It will be held in the parish center from 10 - 4 PM. 

2.  We will be handing out surveys during Mass on the weekend of 1/6 - 1/7, 2018 and the weekend of 1/13 - 1/14, 2018 regarding the establishment of discussion groups which would start with Lent.  

3.  The Parish Champion program through Dynamic Catholic has begun. CDs were handed out, the Best Advent Ever program has been offered to parishioners and prayer intentions are being sought from the parish. Each month we will receive a case of free books or CDs to be handed out and information on different programs offered by Dynamic Catholic. 

4.  Recitation of the Rosary on Saturday at 4:30 PM and on Friday at 9:30 AM is now being offered for special intentions. 

5.  Adoration of Friday after the daily Mass had now been extended to noon. Benediction will soon be added. 

6.  We are continuing to encourage personal prayer. 

7.  Bible study with Father was very well attended. The next meeting will be held on 12/7/2017 at 6 PM. 

8.  Daily Mass on Wednesdays only will be changed to 12 noon beginning on 1/10/2018. 

9.  Welcome packet for New parishioners is still in the works.

§  Celebratory mass celebrated in January 2019 to begin a year-long celebration

·        Would like 6-8 members for each committee

·        Committees to be formed by the end of 2017, if possible

Commission Reports:

·        Education/Faith Formation – Orla Kelly-Rajan

o   Faith Formation has started. 281 students registered

o   174  families registered

o   Volunteer Teacher numbers:  18 teachers; 12 prayer ministers

o   All volunteers 18 and under in all ministries are urged to attend a training workshop  on child sexual abuse prevention called: Protecting God’s Children. Date is 10/24 from 6:30 – 9:30 pm

§  Mandatory for teachers

o   On November 19, there will be a collection for the Pastor’s Pantry, sponsored by the 1-5th grades.  Please bring non-perishable items.

·        Liturgy and Worship – Helen Greco

o   November 30 – Penance Service at 7 pm

o   December 11 – Healing Mass at 7 pm

o   Confirmation Students will do a reading at all masses one weekend/month

o   On All Saints Day (November 1), mass will be at noon. Spanish Community asked to have it on All Soul’s Day at 7 pm

 

·        Community Outreach – Frank Greco

o   Homeless Shelter

§  There are currently 86 people in the homeless shelter at this time

o   Sunday Lunches for feeding the homeless (Frank noted that the following items are not to be served: pizza, barbecue or spaghetti)

§  Location: Grace Episcopal Church 419 S. Main Street Lexington

§  OLR will continue to assist during the months of May and September

o   Meals on Wheels

§  We currently serve 19 people.

o   VA Fundraiser:  Currently working on this project.  Our church is one of the largest providers of gift baskets for the fundraiser. 

§  Items are now being collected

§  Will also accept cash donations

§  Need items by 11/5

§  Silent Auction will be held at the Salisbury VA Hospital, Building 6, Gym. Dates are November 16, 17  from 9-3 pm. Open to the public.

o   Confirmation Students

§  Each Candidate for Confirmation is required to earn 20 hours of community service

·        Will sponsor  the At-Large Group meals

·        Will read at the masses (1/weekend/month)

·        Hispanic Community Maria Segura

o   Will coordinate parking during the BBO Festival on 10/28/17 as a fundraiser

o   Will have a float in the Christmas Parade on 12/4 in Lexington

§  All are invited to walk with the float. Candy will be distributed as well

o   There will be a dance on  12/11

o   Teresita Wright presented a copy of the funds raised by the Hispanic Festival held on 9/17/2017. The event raised $7,400.89. The October 22, 2017 bulletin had noted the wrong amt. Proceeds were slated for the Parish Beautification Project.

·        Our Lady’s Guild – Pat Williams

§  Meets first Wednesday of the month

§  Wine Tasting at the November 1, 2017 meeting

o   Our Lady’s Guild members will participate in Winter Special Olympics on November 17, 2017 at the YMCA

o   In November and December, Our Lady’s Guild will participate in the “Back Pack Program”, which benefits schools in Lexington and Davidson County school system.

·        Knights of Columbus – Frank Greco

o   4 breakfast events are held each year.

·        Building and Facilities John Bloxsom

o   John presented the Council Members with a report on the remodel project.  We currently have a few payments pending, but have paid out to date $57,340.43.

·        Finance – Bob DuCharme

o   Finance Council activity and access to financial data suspended by Father Ambrose until after meeting with Larry Kunar and Diocese Chancellor on November 15.  No data is available to Parish Council for required quarterly report to parishioners.

·        Evangelical Commission – Sue Hayden

o   Mission statement is complete

o   Welcoming new newcomers and visitors started this past weekend, October 22, 2017

§  A book and rosary were given out at the end of each mass

·        Father Ambrose’s closing remarks: On behalf of the Church, thank you to the Building/Facilities Committee for all their work on the Beautification Project.  Church is open for parishioners to view the construction after masses this weekend.

·        The Committee for the 75th Anniversary Celebration of the Church will be formed in September.

·        Orla Kelly-Rajan attended an evangelical conference in Greensboro in June.

o   A new Evangelical Commission will be formed this fall made up of 4 or 5 members.

o   The new Commission will meet with a representative from the Charlotte Diocese this fall.

o   John presented an estimated cost of $1,500/year maintenance fee to have all of the HVAC units serviced twice a year.  A discussion followed on the age and conditions of all units.

o   A discussion was led by Larry concerning the 2017/18 preliminary budget.

§  It was noted, by Mike Barrows, that there are 466 registered families in the Church

§  The charge to the Council is to provide any recommendations to the Finance Council on the proposed budget by Friday, June 16th

§  A discussion was held on the use of the 2nd collection money.  It was noted the parishioners need to know the purpose of the 2nd collection is to:

·        Fund the Diocese Custodial Collections, and

·        Support the parish IF (Improvement Fund) Account for projects like the needed replacement of two HVAC units.

§  The Final Budget will be presented to Fr. Ambrose and the Parish Council for final approval at the June 28, 2017 meeting.

Teresita Wright led the discussion concerning the Diocesan Stewardship Conference she & others attended.

A lot of information was shared.

We need to pull together a committee of 10-12 people to form a stewardship committee.

Time/Talent/Treasure- we are asking parishioners to help in one or more of these 3 areas by becoming part of one of the stewardship committees.

Once we have the committees formed, we will then be able to call in a consultant from the Diocese to advise us on how to proceed.

Our pastor must be on board as well – to guide the committees’ spiritually.

Sister Kathy informed the Council that the Jr. High classes are working on different life skills, as part of their training:

6th grade – 45 minutes traditional lessons; 45 minutes - communication

7th grade – 45 minutes traditional lessons; 45 minutes – decision making

8th grade – 45 minutes traditional lessons; 45 minutes – morale issues

May 7 – Retreat for Confirmation Students

May 13 – First Communion for older students

May 14 – First Holy Communion for younger children, and the Hispanic Children

May 14 – last day of Faith Formation Classes

May 31 – Confirmation

Discussed registration for fall Faith Formation Classes.  Father recommended holding the process until we have a procedure for church registration of parishioners.  Parents need to register as a church member before registering their students for Faith Formation Classes.

Current number of families registered:  204 Angelo families; 222 Hispanic Families

The current registration form will be revised to make it more user-friendly. A group will work on simplifying the form this week.
